Two jobs that look alike and are not

HR wants a plain-field headshot for the badge printer and the Slack directory. Passport portals want a biometric still that matches ICAO-style rules. They both look like “face on white.” They are not the same file. The U.S. Department of State’s passport-photo page tells you to submit the original, unedited photo and not to change it with computer software, phone apps, filters, or artificial intelligence. GOV.UK printed-photo rules say photos must be unaltered by computer software. This article is for the badge and directory job. It is not a workaround for a passport rejection, and it is not advice to AI-swap a visa upload. If a portal already rejected your living-room selfie, the official answer for US and UK passports is a new, unedited still — not another pass through this tool.

How to shoot a badge still that will survive a cutout

Stand a person about a metre from a plain wall, face a window, shoulders square, mouth closed, eyes visible. Leave headroom. Upload that JPEG to background removal. Inspect hair, glasses, and collar at 100%. A dark halo means the wall was too close in tone — reshoot, do not stack auto passes. Then swap to one field the company actually uses: light grey, off-white, or a quiet brand color. Do not invent a glass HQ. Do not smooth skin. Badge systems that only need a readable face will accept a clean field. Passport systems that forbid alteration will not. If facilities print on a 35×45 mm card, keep the same crop guide for every employee so the printer does not crop ears.

Sizes you can reproduce for badges

There is no single global badge pixel. Many printers want a square or a 35×45 mm print. Work from a 2400 px phone JPEG under 4MB; it typically returns in under 60 seconds. Uploads accept JPG, PNG, WebP, or AVIF up to 10MB and 6000×6000 px. Export a PNG cutout if facilities will composite onto a template, and a flattened JPEG if they print as-is. Name files `firstname-badge.png` versus `firstname-as-shot.jpg`. A conference lanyard crop is a different ratio — do not stretch the badge square into it. A date or sponsor mark on a leftover conference photo is a text pass after the cutout, and only if the person agreed to a work portrait.

If the portal said “background not plain”

For a US passport, State Department examples treat cropped or AI-replaced backgrounds as unacceptable. For a UK printed photo, GOV.UK wants a plain cream or light grey field, a true likeness, and no software alteration. Digital UK photos have their own distance-from-wall notes; read that page, do not improvise. Do not run this tool on the file you will upload to those sites. If your country’s visa form only asks for a “white background” and does not forbid edits, still read that form — this page will not claim a worldwide legal pass. Webcam freeze-frames and 400 px WhatsApp forwards are too soft for either job.

Directory batches

HR can process ten consented portraits with the same field in one sitting. Skip Zoom tiles. Skip faces the person did not clear. Keep the original next to the badge export so a later dispute is not a scavenger hunt. When the badge printer is waiting and the living room is still in the circle, isolate the face for that internal file — and take a new, unedited still for any passport or visa that forbids software changes.

UK printed versus digital is still unaltered

GOV.UK splits printed photos and digital photos. Both insist on a true likeness. Printed photos must be unaltered by computer software. Digital photos add notes about standing away from a plain light wall. Neither page is an invitation to run background removal and then upload. Office badges are usually printed by a vendor who only needs a PNG on a field. That vendor is not a passport examiner. Do not reuse the badge PNG in a DS-11 packet. If HR already printed badges from a cutout, that is an internal file. It does not become a visa file because the field looks white.

Window light, plain wall, no hats unless company policy allows them for religious or medical reasons. Send ten consented people through in one hour. Facilities composites the PNG. Do not let each employee pick a different skyline.
